TERMS AND CONDITIONS OF TRAIN TICKET RESERVATION (INTERCITY TRAINS)

TRAIN TICKET RESERVATION TERMS AND CONDITIONS

  1. By using this service, you agree to the Terms and Conditions of Train Passenger Transportation, including but not limited to Reservation Conditions, and will comply with the terms and conditions, including payment, adhering to all rules and restrictions regarding fare availability, and being responsible for all costs arising from the use of the Online Train Ticket Reservation facility.
  2. PT Kereta Api Indonesia (Persero) reserves the right to change, adjust, add or remove any of the terms and conditions listed herein, and/or change, suspend, or terminate any aspect of Train Ticket Online Reservation. PT Kereta Api Indonesia (Persero) is not required to provide notice before entering any of the above changes and/or modifications into the Train Ticket Online Reservation.
  3. PT Kereta Api Indonesia (Persero) will use the personal information you provide through this facility only for the purpose of reservation and recording of the PT Kereta Api Indonesia (Persero) customer database, including but not limited to calculating points in the Train Frequent Passenger program.
  4. You are not allowed to use this facility for any unlawful or prohibited purpose, including but not limited to making unauthorized, speculative, false, or fraudulent reservations or reselling them unlawfully. PT Kereta Api Indonesia (Persero) may cancel or terminate the use of this facility at any time without notice if suspected.
  5. PT Kereta Api Indonesia (Persero) does not guarantee that train ticket online reservations will be error-free, free from viruses or other harmful elements.
  6. The terms and conditions of this facility shall be governed and interpreted in accordance with the internal regulations of PT Kereta Api Indonesia (Persero) and the prevailing laws and regulations in the Republic of Indonesia.


ADDITIONAL PROVISIONS RELATED TO THE COVID-19 TRANSITION PERIOD

  1. Travelers are advised to continue vaccinating against COVID-19 until the second booster or fourth dose, especially for people who have a high risk of COVID-19 transmission.
  2. Travelers are allowed not to use masks if they are in good health and are not at risk of contracting or transmitting covid-19 and are encouraged to continue to use masks that are well closed if they are unwell or at risk of covid-19 before and when traveling and activities in public facilities;
  3. Travelers are encouraged to keep carrying hand sanitizer and/or use soap and running water to wash their hands regularly, especially if they have been in contact with objects used simultaneously.
  4. For people who are unwell and at risk of contracting or transmitting COVID-19, it is recommended to keep a distance or avoid crowds of people to prevent transmission of COVID-19.
  5. Travelers are encouraged to continue using the Satusehat application to monitor their personal health.


GENERAL PROVISIONS

  1. Passengers who have proof of transaction (notification SMS, email payment receipt for train tickets, receipt, payment invoice, transaction printout) are required to check in starting 7 x 24 hours before the scheduled departure time of the train to obtain a boarding pass.
  2. The boarding pass is a document issued by the company and provided to passengers as a ticket replacement document. The boarding pass can be printed at the check-in counter at the station starting 7 x 24 hours before the scheduled departure time of the train. The boarding pass is only valid for transportation from the departure station to the destination station, as stated in the boarding pass.
  3. For check-in times from 1 x 24 hours up to before the scheduled departure time of the train, the check-in process can only be done at the passenger's departure station or intermediate station according to the train ticket's relationship.
  4. Passengers can check in by downloading the electronic boarding pass (e-boarding pass) through the Access application starting 2 hours before the scheduled departure time of the train.
  5. In the event that a passenger arrives late at the station and misses the train, the ticket already purchased cannot be canceled and is automatically considered void, and no replacement service with other trains or alternative transportation modes will be provided.
  6. If a passenger is found without a valid ticket on the train, the passenger will be disembarked from the train at the first opportunity and subject to sanctions in accordance with company regulations.
  7. Prohibition of transporting intoxicated individuals and individuals who may disturb or endanger other passengers, individuals infected with contagious diseases, or individuals subject to isolation regulations for their health according to the law.
  8. In the event that a passenger will use two or more connecting trains, the passenger should allocate sufficient time for the connection with the next train. KAI is not responsible for the passenger's failure to use the subsequent train due to the delay of the previous train and will not provide any compensation. KAI will only provide compensation in the form of a refund of the subsequent train travel cost, excluding the booking fee, if the delay of the previous train is more than 3 hours.
  9. All train journeys are smoke-free, including tobacco cigarette smoking, electronic cigarette vaping, or e-liquid vape steam. Smoking or vaping is not allowed throughout the train. If caught smoking or vaping inside the train, the passenger will be disembarked at the first station where the train stops.
  10. Any individual boarding or inside the train is prohibited from:
  • Being intoxicated.
  • Engaging in gambling.
  • Engaging in indecent behavior.
  • Carrying hazardous items.
  • Carrying prohibited items.
  • Behaving in a manner that may endanger the safety and/or disturb other passengers.
  • Sitting or sleeping on the train's platforms or floors.
  • Endangering the train journey.
  1. Passengers who violate these prohibitions are not allowed to board the train or, if caught inside the train, will be disembarked at the first opportunity.
  2. Individuals infected with contagious diseases or individuals who may be subject to isolation regulations for health according to the law are prohibited from boarding the train.
  3. Pregnant women who are allowed to board long-distance trains must:
  • Be between 14 to 28 weeks pregnant.
  • Be in good health condition.
  • Have a healthy pregnancy with no abnormalities.
  • Be accompanied by at least 1 adult passenger.
  1. Passengers aged 3 years or older are subject to adult fares and entitled to a seat number.
  2. Passengers aged under 3 years (infants) will be accompanied by one adult passenger with an adult fare if they do not occupy their own seat and are not subject to a fee.

 

ONLINE RESERVATION

  1. The train ticket online reservation facility is only valid for train travel listed in the train ticket online reservation system.
  2. Train ticket reservations can be made from D-45 to 3 hours before the scheduled departure of the train, or according to the ticket booking rules set by the company. The deadline for paying for Train tickets is up to 60 minutes after getting the payment code. If exceeding the time limit of 60 minutes is not paid, then the ticket and booking code are canceled by the system.
  3. Special ticket reservation through the ACCESS application with a booking period of less than 3 hours to 1 hour before the scheduled departure of the train. The deadline for train ticket payment is up to 15 minutes after getting the payment code. If exceeding the time limit of 15 minutes is not paid for, then the ticket and booking code are canceled by the system.
  4. Make sure the trip data and passenger identity have been filled in correctly. Indonesian passengers (Indonesian citizens) are required to fill in data using NIK (identity number), including infants, and foreigners (foreign citizens) fill in the identity number in the passport.
  5. Proof of payment for train tickets will be issued after payment is approved and sent to the ticket booker's e-mail address.
  6. Payment can be made using a Visa, Mastercard, or debit card included in the bank's online list or through the bank's ATM facility.
  7. Especially for payment using a credit card, the credit card owner is a passenger or part of the train passenger. PT Kereta Api Indonesia (Persero) has the right to refuse passengers or other passengers in 1 booking code if the credit card owner is not included in the train passenger list.

 

FARE

  1. Every passenger must have a ticket.
  2. Rates are per person, per way and include insurance.
  3. Passengers aged 3 years or older are charged an adult fare.
  4. Passengers under 3 years old (infant) to one of one passengers with adult fare if not taking their own seat are not subject to duty.
  5. The applicable tariff is in the range of upper limit tariff (tba) and lower limit tariff (tbb) determined by the Board of Directors based on the Regulation of the Minister of Transportation of the Republic of Indonesia and may change at any time within the range of tbb - tba in question.
  6. The fare presented consists of several different fare levels and is tied to the seat number. Passengers who make an early reservation have the flexibility to choose the desired fare level.
  7. Especially for long and medium distance trains that are government assignments (non-commercial trains / PSO), tariffs are set by the Minister of Transportation of the Republic of Indonesia.
  8. The Ticket is valid only for carriage from the departure station to the arrival station as stated in the Ticket unless otherwise stipulated by the Company.
  9. On long and medium-distance trains, every passenger is entitled to a seat number
  10. KAI provides reduced fares to elderly, veterans, TNI/POLRI passengers and other parties determined by KAI.

 

BAGGAGE

  1. Each passenger is allowed to bring baggage on board the train with a maximum weight for each passenger of 20 kg and a maximum volume of 100 dm3 (with maximum dimensions of 70 cm x 48 cm x 30 cm) and as many as 4 koli (baggage items) without additional charge.
  2. Baggage that exceeds the weight and/or size as referred to above, up to 40 kg in height or with a volume of 200 dm3 (with maximum dimensions of 70 cm x 48 cm x 60 cm), is allowed to be carried on the passenger train subject to excess baggage fees or the purchase an extra seat.
  3. Rates for excess baggage weight are as follows:
    Executive class train Rp 10.000/kg.
    Business Class Train Rp 6.000,-/kg.
    Economy Class Train Rp 2.000,-/kg.

  1. Payment for baggage is made at the station.
  2. Baggage that exceeds the weight and/or size referred to in number 2 is not allowed to be carried into the train cabin except manual wheelchairs, strollers, walking sticks.
  3. Bicycle baggage that can be carried directly into the passenger train cabin is a type of folding bicycle with a maximum weight of 20 (twenty) kilograms and a maximum wheel diameter of 22 (twenty-two) inches, and ensures the condition of the folding bicycle does not have the potential to cause damage to train facilities.
  4. Bicycles with types other than folding bicycles as referred to in point 6, both in assembled condition and in the form of bicycle components packaged in such a way are not allowed to be carried into the cabin of the passenger train or dining car.
  5. Baggage is placed in the baggage rack above the passenger seat or placed elsewhere in such a way that it does not disturb or endanger other passengers and will not cause damage to the train.
  6. The Company is not responsible for damage and/or loss of passenger baggage. Each passenger is required to take care of the baggage he carries.
  7. Damage to the train caused by passenger baggage shall be the responsibility of the passenger and shall pay compensation in the amount of actual loss for such damage.
  8. Items that are not allowed to be carried as baggage, including:


  • Animal.
  • Narcotics: Psychotropic and other addictive substances.
  • Firearms and sharp weapons.
  • Surfboard.
  • All flammable/explosive items.
  • All items that smell bad, fishy or because of their nature can disturb / damage health and disturb the comfort of other passengers.
  • Items that according to the officer's consideration, condition, and magnitude are inappropriate to be transported as baggage.
  • Items prohibited by laws and regulations.

BOARDING

  1. All passengers are required to show a valid proof of identity (original) with the name on the proof of identity the same as stated on the Boarding Pass.
  2. Proof of identity that can be used is KTP, SIM, Passport, TNI Soldier Identity Card, POLRI Member Identity Card, TNI/POLRI Student Card, Student Card, and other proof of identity equipped with a photo.
  3. If the passenger's boarding pass is subject to reduction facility, the proof of identity shown is proof of identity showing the right to the reduction.
  4. If you cannot show proof of identity that is the same as the name printed on the ticket/boarding pass, you are not allowed to enter the station and board the train.


CANCELLATION

  1. Cancellation of the trip at the request of the passenger, served at the designated station counter no later than 30 minutes before the scheduled departure of the Train;
  2. The cancellation applicant is the passenger concerned by showing the original proof of identity according to the data listed on the Boarding Pass and submitting a copy to attach to the cancellation form. In the event that the cancellation applicant is a foreign tourist, it is mandatory to attach a photocopy of the passport with the name that matches the one stated on the ticket.
  3. In the event that the cancellation applicant is not the owner of the Boarding Pass, it is mandatory to attach a stamped power of attorney from the owner of the Boarding Pass to the authorized person to make the cancellation. The power of attorney still shows the original proof of identity of the power of attorney, the original proof of identity of the Boarding Pass owner and submits a copy (photocopy) of the identity proof of the Boarding Pass owner and the power of attorney.
  4. Refund is subject to a cancellation fee of 25% of the train fare excluding the booking fee.
  5. If more than one passenger cancels the boarding pass but with the same booking code, then a copy (photocopy) of proof of identity and/or authorization of cancellation attached is sufficient for one of the passengers.
  6. The applicant fills out the cancellation form consisting of 2 copies in the form of Boarding Pass data and passenger data as well as a description of taking the cancellation fee.
  7. A copy cancellation form that has been validated by the officer, is provided to the applicant as evidence used at the time of collection of the cancellation fee if the refund option is made in cash.
  8. Refunds are made after the 7th day by wire transfer or cash collection at designated stations.
  9. During the transition period, for passengers who do not have a bank account or e-wallet, refunds can be made in cash 7 days after the cancellation date at designated stations by submitting a validated cancellation form copy and showing a matching original identification document. If there is more than one passenger's name on a single cancellation form, the refund can be represented by one of the passengers listed on the form.
  10. If the cancellation form is lost, it is mandatory to attach a certificate of loss from the Police at the time of cash collection at the counter.

  1. Ticket cancellation can be done at Access at least 2 hours before the scheduled departure of the train.
  2. Cancellation due to non-implementation of transportation due to operational reasons, ticket duty outside the booking duty and / or discount is fully refunded.

 

RESCHEDULE

  1. Schedule changes can be made on trains with the following conditions:
  • The same train on different departure days.
  • Different trains with the same departure day.
  • Different trains on different departure days.

  1. Schedule changes are served at the station counter and made no later than 60 minutes before the scheduled departure of the train.
  2. Reschedule can be done at Access at least 2 hours before train departure.
  3. Reschedule can be made if new (replacement) train seats are still available.
  4. An administration fee of 25% of the train fare is charged excluding the booking fee.
  5. If the new Train schedule fare is higher, then the passenger pays the fare difference.
  6. If the new Train schedule fare is lower, there will be no refund of the fare difference.

 

OTHERS

  1. The calculation of cancellation fees, schedule changes, and fare reductions is rounded up to the nearest multiple of Rp 1,000.
  2. Persons in a state of intoxication and persons who may disturb or endanger other passengers, persons infected with communicable diseases or persons who by law may be subject to seclusion regulations for their health are prohibited from boarding trains.
  3. All train Trips are Non-Smoking trips, smoking is not allowed in the entire Train network, smoking is found and does not heed the prohibition of being dropped off at the first station of the train stop.
